Before The Mobility

Complete the necessary tasks before departure.

IMPORTANT: If you are in Italy with a residence permit, make sure it remains valid for the entire duration of your mobility abroad. If you need to renew it, start the renewal process immediately in preparation for your departure with the Erasmus program. If you need assistance, contact the dedicated GOPA desk: HelpDesk Permit of Stay.

🔎To-Do list Before Departure

After the publication of the rankings, you will find out your assigned destination. We will ask you to either accept or decline the placement and to indicate your intended semester of departure.

If you do not accept the placement according to the procedures and deadlines indicated, your lack of response will be automatically considered as a refusal, and you will not be able to take part in the assigned mobility.

‼️Please remember: If you refuse the offer, no reassignment will be possible. You will need to apply again in the following Call.

Nomination

Once you have confirmed your placement and your semester of departure, we will send your details to the host university according to the semester you indicated.

 

Each university has its own nomination calendar, usually divided between the first and second semesters. Students departing in the first semester are nominated first.

Afterwards, the host university will contact you with instructions on how to submit your application for admission.

After accepting the location and indicating the starting semester, you will be nominated at the assigned University.

The institution will then contact you, providing instructions to complete your enrollment. Please respect the deadlines that will be communicated to you and prepare the necessary documents.

Among the documents that may be requested are:

  • Transcript of records and certificate of enrollment (you can request a copy from the International Relations Office)

  • Language certificate (contact the International Mobility Unit if you fall under an exemption category and do not have the certificate from the Language Center).

  • Some host institutions may also request a draft of your Learning Agreement. You can download and temporarily fill out the template available in this section to complete the requirements set by the host university.

    Later on, you will be asked to complete the official digital version through Mobility Online – further information will follow.

Enroll at the host University according to the procedures and deadlines indicated by the institution itself.

Learning Agreement for Studies

Inform yourself about entry rules and healthcare assistance in the host country.

Check the entry requirements by consulting the websites of the Embassies and the Ministry of Foreign Affairs.

Read the information sheet for outgoing students and sign the assumption of risk and liability waiver.

Verify the insurance policies provided by the University of Pavia.

Note: the University of Pavia does NOT provide health insurance.

Italian Residence Permit:

If you are in Italy with a residence permit, check its validity and take immediate action to start the renewal procedures before starting your mobility period. For more information: HelpDesk Permit of Stay

Information Sheets

 Access Mobility Online and complete the digital learning agreement (DLA).

Tip: Ensure that there is a real alignment between your study plan and the courses at the host institution based on your departure semester. Consult with the professors of the individual courses to verify that the content of the courses you wish to attend is compatible with those in your study plan.

  • Contact the international mobility delegate for your field of study to agree on the learning agreement (study program abroad).
  • You can present the Learning Agreement in paper form to your delegate before completing the digital version.
  • After your International Mobility Delegate approves your DLA on Mobility Online, the host university will automatically receive a copy to review and approve (or reject).
Instructions and Learning Agreement

Enter the bank details of your Italian current account in your Area riservata.

➡️If you have a foreign account

If you have a foreign bank account, contact the International Mobility Office and submit the Payment Form for foreign account holders. Please note you must be the account holder or co-holder of the bank account

Fill out the Self Declaration (SEMP) and submit it to the International Mobility Office.

Indicate the start and end dates of your mobility period as specified in the host university's academic calendar on your personal Mobility Online page (access with your university credentials).

Tip: Check the host university's academic calendar to see if orientation activities are scheduled. You can enter the first day of orientation week as the start date of your mobility and the last day of the exam session as the end date.

 

Participants will be informed when they can update the dates of their mobility period.

Subscribe to the European Commission’s Eu Academy e-learning platform and take the placement test for the target language: EU Academy

Don’t worry, it is free and the test results will not prevent you from participating in the Erasmus+ program.

The OLS test is not mandatory, but strongly recommended.

Sign the mobility agreement through your personal page on Mobility Online (accessed using your university credentials).
Remember that you will receive the agreement only after you have submitted the necessary documentation and updated the dates on Mobility Online.

Remember to ALWAYS check your Spam folder as well.

During the Mobility

Inform the University that you arrived at the host insitution by sumbitting the Arrival Certificate.

Apply changes to the Learning Agreement if you need to by filling out the Changes to The Mobility form.

Ask for an extension (if needed).

🔎To-Do List During the mobility

Upload the certificate of arrival through your personal page on Mobility Online (access using your University credentials)

During your mobility period, you may need to modify your Learning Agreement.

Download the designated form and obtain the approval of both the host institution and your International Mobility Coordinator.

Multiple changes can be made throughout your mobility. If this is the case, please ensure that each subsequent change is renamed accordingly before sending it to The International Mobility Office.

Changes with a signature date after the completion of your mobility will not be accepted.

All valid changes must be signed by:

  • the student
  • the International Mobility Coordinator
  • the representative at the host institution

 

Request an extension of the period (if necessary) by completing the appropriate form.

It must be approved by your supervisor and the University of Pavia and the host Univerisity. You will also need to submit the modification to the learning agreement with the additional activities.

  • Extensions are not subject to payment.
  • Extensions cannot exceed the 360 days of allowed mobility.
  • It is not possible to request an extension that goes beyond the mobility end date set by the Call.

Please note: before requesting an extension, make sure you haven't used up all the available mobility days

Upon return

To close your mobility period, follow the mandatory steps listed. Make sure to meet the deadlines indicated in the Call and submit the documents in time to allow for prompt recognition.

If you are about to graduate, you must submit the documents at least 45 days before the graduation session.

Note: Until further notice, do NOT upload these documents on Mobility Online. Instead, send them via email to [email protected] with the subject: "Return Documents + Last Name." If you require urgent validation, please let us know!

🔎To- Do List After the Mobility

Send the certificate of the study period, signed and stamped by the host university.

Reminder: The Erasmus program allows for a mobility period within a specific timeframe, which ends no later than September 30 of the academic year in question.

The mobility period cannot exceed the total of 360 days allowed by the program.

Certificates with periods that do not comply with the terms explicitly stated in the Erasmus+ Study Call will not be accepted.

Send the Transcript of Records issued by the host institution.

The grade certificate must be the official copy, signed and stamped by the host institution.

If you have carried out thesis research activities, also send the Thesis Research Activity Certificate completed and signed by the host institution.

The thesis activity must have been included in the Learning Agreement or one of its modifications.

Contact your International Mobility Delegate to agree on the exams/activities to be validated.

Log in to Eu Academy and take the final OLS placement test.

You will receive an email with the information to complete the EU Survey.
