After the Selections - Overseas Exchange Programme

Select the phase of your mobility to discover the next steps to take.

Before the mobility

Overseas destinations require the timely initiation of visa procedures and other formalities that may take time. It is therefore essential to inform yourself as early as possible about the requirements and costs before departure. This is important to avoid delays and complications. Some host institutions may assist you in this process.

  • Some procedures may require appointments well in advance at embassies or consulates.

  • Without the necessary documents, you risk not being able to travel or facing issues upon arrival.

  • Certain documents, such as your passport or residence permit (for non-EU citizens), must be valid for a minimum required period.

If you are in Italy with a residence permit, make sure it remains valid for the entire duration of your stay abroad. If the permit is about to expire, contact the International Office HelpDesk at the Pavia Questura immediately to start the renewal process.

After the selection process, you will need to accept or decline the assignment in the manner and within the timeframe that will be communicated to you. You will also be asked to specify the semester of departure if the host institution has indicated both the first and second semesters.

ATTENTION: If you decline the assignment or do not accept it within the specified deadlines, you will be considered as having withdrawn and will not be able to participate in the program.

Once you have passed the selection process and accepted the assignment, you will need to inform us of your semester of departure.

Based on the semester, we will nominate you to the host institution. Please wait to be contacted directly by the institution, which will provide you with all the necessary instructions for correct enrollment.

Follow the instructions from the host institution and ensure you obtain all the documents it requests in a timely manner. Among the documents you may need to provide are:

  • Transcript of Records and Certificate of Enrollment (to be requested from the International Mobility Office)
  • Curriculum Vitae
  • Passport
  • Bank Statement (to be requested from your bank)

It is your responsibility to check the entry requirements of the host country.
This also includes verifying the type of health coverage required during your stay.

Please consult the website of the Italian Ministry of Foreign Affairs and International Cooperation and Viaggiare Sicuri for more detailed information on your destination country.

We also recommend checking the website of the Italian Embassy in the host country to find out which entry documents are necessary for your stay.

⚠️ Please note: the University of Pavia does NOT provide health insurance.

Fill out the data sheet and return it to the International Mobility Office at least two weeks before your departure.

Attachments

Before you depart, fill out the Learning Agreement. You will need to include the courses you will take at the host institution and the corresponding courses from your study plan.

TIP: Make sure there is actual alignment between your study plan and the courses at the host institution, depending on your semester of departure. Discuss with the professors of individual courses to verify that the content of the courses you wish to take is compatible with what is included in your study plan.

Contact the International Mobility Delegate of your Erasmus Area to agree on the learning agreement (study program abroad).

  1. Download the learning agreement and fill it out
  2. send a copy to the International Mobility Delegate of your study area
  3. Sumbit the Learning agreement to the host organization for their approval
  4. Send the learning agreement to the International Mobility Office once approved

To receive the Mobility Agreement, it is sufficient for the Learning Agreement to be signed by you and your Internationl Mobility Delegate. However, it is mandatory for the Learning Agreement to also be signed by the host institution. If you are unable to get it signed before departure, make sure to have it signed as soon as you arrive at your destination and send a copy to the International Mobility Office.

Fill out and sing the payment form.

Submit it to the International Mobility Office.

After sending the Learning Agreement, the data sheet, and the payment form, sign the mobility agreement following the instructions that will be sent to you via email.

During the Mobility

You must officially register your arrival at the host institution. Additionally, you may need to make changes to your study courses.

Submit the documents to [email protected].

Within one week of your arrival at the host institution, send the arrival certificate, dated and signed by the host institution.

If you need to change any courses, complete the modification to the Learning Agreement.

The document must be sent to the International Mobility Office, approved by your delegate and the host institution.

IMPORTANT: Any changes to your study plan must be included in the modification, which must be approved by everyone.

Changes with signature dates later than the mobility end date are not allowed.

After the Mobility

The end-of-mobility procedures must be completed within 30 days of your return. Submit the properly named documents to [email protected].

If you are about to graduate, you MUST submit the end-of-mobility documents at least 45 days before the graduation session and notify us if there is any urgency for recognition.

Submit the certificate for the period, filled and signed by the host institution.

Submit the final Transcript of Records signed and stamped by the host institution.

Thesis Certificate

If you have worked on your thesis as well submit the thesis work certificate. This activity must be included in the Learning Agreement or its modification.
